Many salon owners believe that growth just means gaining new clients, but in reality, there are three ways to grow a business: attracting more clients, encouraging them to spend more and ensuring they return sooner. The latter is what many businesses miss, and it could be costing your salon thousands in revenue.

Productive, not profitable

Your business’ diary might be full and your team working hard, but that doesn’t guarantee profit. Costs have risen and when this happens, the answer is not to work harder; it’s to work smarter. That means looking beyond new client marketing and asking: ‘Are our clients coming back often enough?’.

The power of the appointment gap

Clients rarely disappear overnight; often, they quietly stretch their appointments. A four-week client becomes a five-week client, or someone who used to rebook during their appointment now waits until their nails are bothering them or an event is coming up.

This gap may not seem like much, but it has a major impact. For example, a salon with 1,000 active clients, 8,000 annual appointments and an average appointment cost of £50 has a 6.5-week return rate. If clients stretch that by one week, the business could lose around £53,000 per year. But if the salon pulls that gap back by a week, it could add around £72,500 annual profit.

Don’t leave rebooking to chance

A reminder email is not a return strategy. By the time a client receives this, they may have booked elsewhere or be used to going longer between appointments. The best time to influence their next visit is during their current one.

This starts with the consultation. Talk about the client’s lifestyle, service choice and maintenance needs. Explain when their nails will require attention and why timing matters, then make booking their next appointment part of the service.

Instead of saying, ‘Book whenever you need me,’ try: ‘For your nails to stay looking their best, I’d like to see you in four weeks. Shall we get that booked now so you get a time that suits you?’. This isn’t pushy; it’s professional guidance.

Team conversations matter

Many salon owners don’t talk to their teams about return rate, even though staff need to understand its effects. A client coming back later than usual affects revenue, wage percentage, profit and long-term business stability.

Make return rate part of your salon conversation. Track it, discuss it and celebrate improvements. Ask:

‘What is our average gap between appointments?

‘Are clients rebooking before they leave?

‘Which services need a stronger maintenance plan?

‘Are we educating clients on when they should return?

‘Are we letting online booking decide the client journey?

A practical exercise

To work out your appointment gap – so you can start closing it, you need three numbers: your active clients over the last 12 months, your total appointments during this time and your average client bill. I have created a free worksheet to calculate this. Scan to access.
